Systly LLC ("Systly," "we," "us," or "our") operates Systly MLS Social Suite (the "Service"), a software platform that helps licensed real estate agents and lenders automate marketing across their connected social media accounts. This Privacy Policy describes what information we collect, how we use it, with whom we share it, and your rights and choices.

By using Systly MLS Social Suite, you agree to this Privacy Policy.

1. Information We Collect

a. Information you provide directly

  • Account registration data: name, email address, phone number, business name, license/NMLS number.
  • Billing information processed by our third-party payment processor (we do not store full card numbers on our servers).
  • Marketing content you upload (listing descriptions, photos, logos, headshots).

b. Information we receive when you connect a social media account

When you authorize Systly MLS Social Suite to connect to Facebook, Instagram, Threads, LinkedIn, YouTube, or other supported platforms via their official OAuth flows, we receive and store the following from those platforms:

  • OAuth access tokens and, where applicable, refresh tokens.
  • The connected account's public identifiers (account ID, username/handle, page ID, channel ID).
  • Basic public profile information (display name, profile picture, account type).
  • Posts, comments, and direct-message events we create or receive on your behalf through the platform's APIs.

We do not collect or store your social media login passwords. Authentication happens on the platform's servers; we only receive the tokens those platforms issue to us at your direction.

c. Information we collect automatically

  • Standard server logs (IP address, browser type, timestamps, pages visited).
  • Service-usage analytics (which features you use, error reports).

2. How We Use Information

We use the information we collect to:

  • Publish listing posts and marketing content to your connected social media accounts at your direction.
  • Respond to comments and direct messages on your behalf according to keyword rules and templates you configure.
  • Provide, maintain, secure, and improve the Service.
  • Communicate with you about your account, billing, support, and product updates.
  • Detect, prevent, and address fraud, abuse, security incidents, and policy violations.
  • Comply with legal obligations.

We do not sell your personal information or your connected social media data to third parties, and we do not use your social media data for advertising or to train AI models.

3. How We Share Information

We share information only as follows:

  • With social media platforms (Facebook/Meta, Instagram, Threads, LinkedIn, YouTube, and other supported platforms) — to publish posts, reply to comments, and send messages you authorize.
  • With service providers who help us operate the Service (hosting, database, email delivery, payment processing, CRM, image rendering, customer support). These providers are contractually limited to using your information only to provide their services to us.
  • For legal reasons — if required by law, subpoena, or to protect the rights, property, or safety of Systly, our users, or others.
  • In a business transfer — in connection with a merger, acquisition, or sale of assets, with notice to you.

4. Data Retention

We retain your account data, social media tokens, and related records for as long as your account is active and as needed to provide the Service. After account closure or upon a verified deletion request, we delete or anonymize your personal information within 30 days, except where we are required to retain certain records (e.g., for tax, accounting, or legal compliance).

5. Your Rights and Choices

You have the following rights regarding your information:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request that we correct inaccurate information.
  • Deletion: Request that we delete your personal information and disconnect your social media accounts. Deletion requests are honored regardless of subscription status.
  • Revoke social media access: You may revoke Systly MLS Social Suite's access to any connected social media account at any time directly through that platform's own settings (for example: Facebook Settings → Business Integrations; Instagram Settings → Apps and Websites; LinkedIn Settings → Data Privacy → Permitted Services; Google Account → Security → Third-party apps). When revoked, we will no longer be able to publish or read data from that account.
  • Opt out of marketing emails: Use the "unsubscribe" link in any marketing email we send.

To exercise these rights, email [email protected]. We will respond within 30 days.

6. Data Deletion Requests

You can request full deletion of your data at any time by emailing [email protected] with the subject line "Data Deletion Request." Upon verification, we will:

  • Delete all access tokens for your connected social media accounts (Facebook, Instagram, Threads, LinkedIn, YouTube, and any other connected platforms).
  • Delete your stored account information, listing data, and post history.
  • Confirm completion within 30 days.

For platform-specific deletion requests, you may also revoke access directly through each platform's own data-management settings.

7. Security

We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit (HTTPS/TLS), encrypted database storage, and access controls. However, no method of transmission or storage over the internet is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

Systly MLS Social Suite is intended for use by licensed real estate professionals and is not directed to individuals under 18. We do not knowingly collect personal information from children. If we learn we have collected information from a child, we will delete it promptly.

9. California Privacy Rights (CCPA / CPRA)

California residents have additional rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know what personal information is collected, the right to delete personal information, the right to correct inaccurate information, and the right to opt out of any "sale" or "sharing" of personal information. 10. International Users

Systly MLS Social Suite is operated from the United States. If you access the Service from outside the U.S., your information will be transferred to, stored, and processed in the U.S., where data-protection laws may differ from those in your jurisdiction.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated "Effective Date." Material changes will be communicated to active users by email.
